    The Legal Secretary position will assist partners, senior attorneys, and associates in all aspects of legal document preparation and general office procedure. A strong attention to detail, commitment to quality work product, and client service skills are all required. The ideal Legal Secretary candidate will possess the ability to multi-task a substantial workload, and communicate efficiently with attorneys and support staff.

     

    Specific Duties Include:

    • Telephone and personal client service skills.
    • Electronic input of calendar reporting.
    • Maintain task lists of document and court deadlines.
    • Schedule appointments.
    • Draft legal documents and correspondence for respective attorneys.
    • Prepare and assemble materials, documents, and exhibits for meetings, court appearances, and hearings.
    • Maintain e-files and physical files according to firm and department procedures, including scanning and posting of all correspondence, emails, telephone calls, faxes, etc. to ensure proper file compliance.
    • Review attorney cases to assess the need for replenishment of funds on those cases.
    • Research inquiries and requests for information.
    • General office duties as assigned for the professional operation of a law firm.

     

    Qualifications:

    • Experienced legal secretary (2 years’ minimum) in handling litigation matters preferred.
    • Proficient in all aspects of Microsoft Office, Excel, Westlaw, attorney billing and document management software, or equivalent.
    • Must be able to prepare draft documentation using Word or through templates and be able to revise and finalize as directed.
    • Must be able to multi-task and have strong follow-through skills.
    • Must be a self-starter, work well with co-workers, and perform all secretarial duties.
    • Notary Public is highly preferred.
